Job Description

JOB SUMMARY   
The Print Production and Office Manager will oversee the print production and distribution of all print creative Companywide while providing quality service, ensuring client requirements and expectations are met and production quality is maintained. This role will also ensure the smooth running of the department on a day-to-day basis.

ESSENTIAL JOB FUNCTIONS
  • Manages the post production for a variety of projects, including traditional printing, digital printing, and non-traditional mediums.     
  • Manages vendor relationships and acts as a project liaison between outside vendors, internal clients and other departments.
  • Manages relationship with primary vendor, ensuring that the overall print production savings and system and product implementations agreed to are met.  
  • Administers the Print on Demand website, Diamondordersondemand.com, by ensuring all Creative items are posted on the site, by monitoring inventory levels, by overseeing customer service, and by overseeing the initiation and implementation of new development.
  • Responsible for understanding and meeting the client's creative needs and expectations, while adhering to brand, business, and compliance guidelines.
  • Conducts multi-bidding methods and price analyses throughout the year to ensure printing costs stay competitive within all markets. 
  • Efficiently submits daily quote requests to vendors by meeting with clients as needed to understand the full scope of the project as well as maintaining ongoing knowledge of paper quality and type, materials, and other print production requirements.
  • Sets realistic expectations on all post production and communicates with clients regarding the production stage, status, and timing. 
  • Presents proposals and/or estimates to client in order to gain approval prior to final production.
  • Works with the graphic design team in order to ensure the integrity of the clients' design and manages project quality.
  • Reviews design specifications and troubleshoots issues.
  • Maintains office services by organizing department operations; processes all invoices; purchases office supplies and maintains proper stock levels, purchases office equipment and oversees proper maintenance; organizes department events or conferences; manages the storage room and monitors inventory. 
  • Oversees the submission of contracts and setting up vendors; maintains the approved vendor list and reviews and approves new supplier requisitions.
  • Assists in implementing and maintaining procedures/office administrative systems.
  • Organizes induction programs for new team members.
  • Ensures company policies, including health and safety, are up to date.
  • Completes all required Company trainings and compliance courses as assigned.
  • Adheres to Company standards and maintains compliance with all policies and procedures.
  • Performs other related duties as assigned.
EDUCATION
  • Bachelor’s degree or equivalent experience in related field. 
EXPERIENCE
  • A minimum three (3) years of experience in the print production field required.
  • No supervisory experience required.
SUPERVISORY RESPONSIBILITIES
  • This position does not include any supervisory responsibilities.

 LICENSE & CERTIFICATIONS

  • This position does not require licenses or certifications.
SKILLS & ABILITIES
This position requires the capability to understand and follow both oral and written directions as well as knowledge and usage of correct business English and office practices.  Must be able to communicate effectively with others, analyze and resolve problems, maintain effective working relationships, and interact successfully with internal and external customers.
Specific skills and abilities include, but are not limited to the following:
  • Strong knowledge of print production, print industry, print materials, packaging and wall displays. 
  • Knowledge of tradeshow booth design and build.
  • Detail oriented and strong organization skills.
  • Computer proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to interpret and create policies, procedures and manuals.
  • Excellent customer service skills.
  • Proficient in time management; the ability to organize and manage multiple priorities.
  • Ability to take initiative and effectively adapt to changes.
  • Recognizes an emergency situation and takes appropriate action.

  • Ability to interpret and create spreadsheets.
