Job Description

JOB SUMMARY    
Under general supervision, the Billing Coordinator is responsible to post annual maintenance fee billings to owners and developers and reconcile against the Home Owner Association (HOA) maintenance fee operating budgets.

ESSENTIAL JOB FUNCTIONS
  • Responsible for mailing the annual billings pursuant to published schedule and new owner billings that are assessed and mailed on a monthly basis.
  • Ensures late notices are mailed to delinquent accounts in a timely manner; processes monthly billing reports and updates for year-end.
  • Ensures the monthly HOA and Club collections, Move Open Credits (MOC), and Apply Open Credits (AOC) routines and late, interest, and collection fee assessments are processed in accordance with the Assessment, Billing, Collection (ABC) policies.
  • Upload statement data files to third party printer for processing and proof sample statements and inserts for accuracy the same day they are received.
  • Responds to all inquiries to the billing email box within forty-eight (48) hours.
  • Assists with responding to all Customer Account Tracking (CAT) items within 48 hours.
  • Maintains open communication with HOA management to obtain the necessary approvals for billing functions.
  • Sets up statement templates for each resort and upload into Atlas/Clarity in order to be processed by outside printing vendor.
  • Ensures the templates are set up by the annual mail date for each resort.
  • Processes monthly adjustments for upgrade cancellations.
  • Researches invalid addresses on returned mail and process skip tracing when necessary.
  • Completes all required Company trainings and compliance courses as assigned.
  • Adheres to Company standards and maintains compliance with all policies and procedures.
  • Performs other related duties as assigned.
EDUCATION
  • High School Diploma or equivalent.
EXPERIENCE
  • A minimum of six (6) months of finance experience required.
  • No supervisory experience required.
SUPERVISORY RESPONSIBILITIES
  • This position does not include any supervisory responsibilities.
LICENSE & CERTIFICATIONS
  • This position does not require licenses or certifications.
SKILLS & ABILITIES
This position requires the capability to understand and follow both oral and written directions as well as knowledge and usage of correct business English and office practices.  Must be able to communicate effectively with others, analyze and resolve problems, maintain effective working relationships, and interact successfully with internal and external customers.
