Job Description

JOB SUMMARY
Responsible for data capture of recording information and assisting with workflow processes related to Inventory Recovery, Cancellations, Estoppels, Buy Backs and Give Backs, Ownership Transfers, Foreclosures, Bankruptcy and Trade-Ins.
ESSENTIAL JOB FUNCTIONS
  • Processes Buy Back and Give Backs.
  • Confirms and coordinates with third party vendor that accounts are eligible and charge the appropriate fee, if any.
  • Creates the deed and/or mutual release and termination of purchase and security agreements (MRA’s) after funds are received and e-mails the documents back to the third party vendor.
  • Tracks recordation and/or cancellation depending on the type of account, once documents are returned.
  • Tracks receipt of request for an estoppel from the resale company and processes any funds included with the request.
  • Researches account information through multiple sources to ascertain required information to complete the estoppel and return completed estoppel to requestor within 24hours of receipt.
  • Determines and prepares 'waiver of right of first refusal' and forwards as appropriate.
  • Searches for basic ownership and maintenance fee information from proprietary software in order to fulfill a variety of different tasks and requests for information.
  • Scans and processes incoming and outgoing mail.
  • Processes death certificates, satisfaction of mortgages, Deedbacks, MR.A's, trade-ins, ownership changes.
  • Researches prior recorded deeds online with various counties.
  • Receives and accounts for funds received from owners for processing to be sent to accounts payable department.
  • Submits check requests, mails various letters to owners, updates databases, sorts incoming documents, assists with foreclosures and contacts owners.
  • Processes tasks according to the work-flow and updates the applicable systems with appropriate notes.
  • Responds to all requests assigned within 24 hours.
  • Updates appropriate systems, individuals, team members, and owners with status and conveys closure and/or ensures next steps are taken.
  • Handles multiple tasks within strict deadlines in a fast paced, high pressure environment.
  • Completes high volume of transactions with accuracy.
  • Assists with processing cancellations on a monthly or on an as needed basis.
  • Maintains a flexible work schedule including evenings, weekends and holidays.
  • Completes all required company trainings and compliance courses as assigned.
  • Adheres to company standards and maintains compliance with all policies and procedures.
  • Performs other related duties as assigned. 
EDUCATION
  • High School Diploma or equivalent. 
EXPERIENCE
  • A minimum (1) year of experience in the financial and/or law institution and/or real estate recording transaction field required.
  • This position does not include any supervisory responsibilities. 

LICENSE & CERTIFICATIONS

  • This position does not require licenses or certifications.
SKILLS & ABILITIES
This position requires the capability to understand and follow both oral and written directions as well as knowledge and usage of correct business English and office practices.  Must be able to communicate effectively with others, analyze and resolve problems, maintain effective working relationships, and interact successfully with internal and external customers.
Specific skills and abilities include, but are not limited to the following:
  • Ability to work and update SharePoint program.
  • Computer proficiency in Microsoft Word, Excel and Outlook.
